What happens first?

We start with a conversation. We want to understand what your organization does, how many programs you operate or support, how people currently move through those programs, where your team experiences friction, and what you’re trying to improve. From there, we’ll determine whether an assessment, implementation, or broader program infrastructure engagement makes sense.

How do we know if this is actually an operations problem?

Accepted Answer

If your team regularly has to ask: Where does this stand? Who owns the next step? Did someone follow up? Who needs to approve this? Where does that information live? How did we handle this last time? Can someone pull the numbers?

What types of organizations do you work with?

Accepted Answer

We work with organizations delivering recurring programs or services to people. That can include youth development, workforce readiness, entrepreneurship, arts and culture, mentorship, adult education, community programs, reentry, economic mobility, and other program-based organizations. We also work with organizations that manage, fund, or support multiple programs.

Do we need to replace the systems we already use?

Usually not. We first understand how work currently moves and where it breaks down. In many cases, the tools an organization already uses can continue to play an important role. We recommend changes only after understanding what the program actually needs.

Question 5

Is this an agents or automation service?

Accepted Answer

Not primarily. Ecrof focuses first on how your programs operate. Technology, automation, or agents may support the eventual solution, but we don’t start by forcing technology into a process that hasn’t been properly designed.

Question 6

Will you build the solution, or just give us recommendations?

Accepted Answer

That depends on the engagement. Ecrof can begin with an assessment and roadmap or continue into implementation, documentation, workflow design, supporting technology, staff enablement, and ongoing optimization. We don’t believe organizations need another consulting report telling them they have a problem they already knew existed. When implementation makes sense, we can help move from recommendation to execution.

What if we operate several different programs?

That’s often where this work becomes even more valuable. We help determine what should be consistent across your programs, what needs to remain program-specific, and how leadership can gain better visibility without creating unnecessary administrative work. The objective isn’t to make every program identical. It’s to stop every program from unnecessarily reinventing the same operating infrastructure.

Can you work with organizations that support or fund multiple nonprofits or programs?

Yes. Ecrof can work with funders, intermediaries, associations, program networks, and other organizations responsible for supporting multiple programs. The work may include shared operating standards, reporting expectations, program visibility, technical assistance, common infrastructure, and identifying where individual programs need additional support.

How long does an engagement take?

It depends on the number of programs, participants, stakeholders, processes, reporting requirements, and the amount of implementation involved. A focused assessment may take several weeks. An implementation spanning multiple programs or organizations can require a longer engagement. We establish the appropriate scope after understanding how your programs currently operate.

How much does it cost?

Program complexity varies significantly, so Ecrof does not use a one-size-fits-all price. An organization operating one program is different from an organization operating five programs, and both are different from a funder supporting twenty organizations. We first understand the number of programs, stakeholders, participants, reporting requirements, existing infrastructure, and operational challenges before recommending an appropriate scope.

Can grant or capacity-building funds be used for this work?

Accepted Answer

Potentially. Some capacity-building funding supports areas such as organizational infrastructure, planning, evaluation, technology, operational improvement, reporting, and related capacity needs. Ecrof can help define the operational problem, project scope, deliverables, expected outcomes, timeline, and budget so your organization has a clearer project to take to an appropriate funding source. Ecrof does not guarantee funding.
