1. Information We Collect

We may collect the following types of information:

• Account Information: Name, email address, and workspace identifiers when you authorize our integrations.
• Content Data: Articles, pages, and documents created or managed through our agent tools, solely to perform the requested service.
• Usage Data: Logs, timestamps, and interaction data to improve service performance.
• OAuth Tokens: Access tokens issued by third party platforms (e.g., Notion) to enable authorized actions on your behalf.

2. How We Use Your Information

• To operate and deliver our integration services (e.g., publishing content to Notion on your behalf).
• To authenticate and authorize actions through connected platforms.
• To communicate with you about your account or service updates.
• To improve and maintain our tools and infrastructure.

We do not sell your personal information to third parties.

3. Third Party Integrations

Our services integrate with platforms such as Notion, n8n, and others. When you authorize these integrations, the respective platform's privacy policy also applies. We only request permissions necessary to perform the services you have enabled. How Command Center by Ecrof handles Google user data is set out in section 3A below.

3A. Command Center by Ecrof and Google User Data

Command Center by Ecrof is a staff operations console. An administrator of an organization can connect the Google Workspace mailbox the organization uses as its shared sender. This section describes everything Command Center does with Google user data.

• What we access: the email address of the connected Google account, and permission to send email as that account. We do not read, search, list or store existing mail, and we do not access contacts, calendars or files.
• How we use it: only to send the organization's own system email from its own address, such as notes to staff when work is assigned to them, password reset links, and test messages an administrator requests, and to show the organization's administrators which account is connected.
• How we store it: the access Google grants is encrypted before it is stored in the organization's own database. The key that unlocks it is kept separately in our secure hosting environment. The connected email address is stored with the connection record.
• Sharing: we do not sell Google user data. We do not share it with anyone except as needed to send the email the organization asked for, or where the law requires it. We do not use it for advertising, and we do not use it to develop, improve or train generalized models.
• People: no person at Ecrof Media Co reads Google user data unless the organization asks us to for support, it is needed for security, or the law requires it.
• Deleting it: an administrator can press Disconnect in Command Center at any time. We remove access with Google and delete the stored access right away. Access can also be removed at myaccount.google.com/permissions. To delete the connection record as well, contact us at the address in section 10.

Command Center by Ecrof's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

4. Data Retention

We retain your data only as long as necessary to provide our services or as required by law. You may request deletion of your data at any time by contacting us.

5. Security

We implement industry standard security practices to protect your information, including encrypted storage of OAuth tokens and secure transmission of data.

6. Your Rights

Depending on your location, you may have rights to access, correct, or delete your personal data. To exercise these rights, contact us at the information below.

7. Children's Privacy

Our services are not directed to children under 13. We do not knowingly collect personal information from minors.

8. Changes to This Policy

We may update this policy periodically. We will notify you of significant changes via email or a notice on our website.

9. SMS and Text Messaging

If you provide your mobile phone number and opt in to receive text messages from Ecrof Media Co, we collect and use that number solely to deliver the messages you have requested, such as account notifications, appointment and event reminders, workshop updates, and customer care responses.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. Information sharing with subcontractors in support services, such as customer service, is permitted.
